Phone Conference Call - How to Do It

Phone Conference Call or Three Way Calling feature comes built in with many existing calling plans.  But until walked through once, you may not know how to use it.  Here is how it works. 

Almost all telephone calling plans today equip your phone with conference feature.  Such feature is more commonly described as "Three-Way" calling. It literally means you can have conversation with two other people on a single phone call.

Make a Call

Phone Conference Call - How to Do It

First, you make a call to someone.

Put the First Caller on Hold

Second, you either press "Flash" button on your phone or quickly tap the switch hook of your phone

Make the Second Call

As soon as you hear a new dial tone, you dial another number. It's okay to dial while the first person is also on the line.

Connect the First Person

You're almost done here.  Now all you have to do is to invite back the first caller by either quickly tapping the switch hook or pressing the flash button if your phone comes equipped. 

Practice a Few Times

Most modern phones with cords come with a flash button.  Many cordless phones do not come equipped and this can get tricky. In this case, instead of tapping the switch hook, you must turn the "Talk" button off then on very quickly. This will take you a few times before you might get used to it.  

Don't Forget

In addition, always notify the first caller that you'd be putting the person on hold. While they're on hold, the call would be silent, and remind not to hang up the phone.

Small Telephone Systems Verses Multi-line Business Phones

Choosing the right telephone system from start is always the best path, but not always the most economical. Before you head down to your local electronic store and pick up the cheapest multi-line business phone you can find, here are few pointers you should keep in mind.

Many multi-line business phones have a pretty decent feature set such as voicemail, caller ID, call waiting ID, 3 way calling and intercom (in multi phone setups). These phones integrate the Key System Unit (or KSU) into the phone itself, which means each individual telephone functions as its own "mini phone system." The term KSU, (Key System Unit, Key Signaling Unit or Key Service Unit) dates back to the early day's phone systems, it's basically "the Brain" of the phone system. All call processing data and telephone line interfacing is carried out by the KSU. For many small offices with less than 4 phones (extensions) and 4 telephone lines, these multi-line phones are adequate and economical. However, as a business grows, the many disadvantages of these phones begin to show their merits.

By comparison, multi-line business phones are sold with the marketing term, "KSU-less design," which translates (in buyers minds) to lower overall costs. Small telephone systems on the other hand include a separate KSU unit or "Brain" in addition to each telephone. A major disadvantage comes to play when you are interfacing your phones with the telephone company lines. The KSU acts as the "line interface," for a phone system, all major system connections terminate at the KSU. Now with each multi-line phone acting as its own "mini phone system," each phone now needs direct connections to each telephone line.

Small Telephone Systems Verses Multi-line Business Phones

A single telephone line consists of 1 pair of wires. Almost all multi-line phones support up to 4 lines, meaning each multi-line phone needs up to 4 pairs of wires or the equivalent of a standard Cat5e cable. As you begin to add more KSU-less phones to your office you must factor in the cost to install another drop of cat5e (or cat5) cable. You must also account for the additional termination blocks in your telephone closet where all these phones must be "Bridged" (or shared) to the 4 phone lines. As you can imagine, for installations with more than say 4 or 5 phones the wiring aspect can get pretty complex. Anything over 6 or 7 phones will be a wiring mess, if done unprofessionally, which adds to the cost of these low budget systems. However, this bridged connection is how multi-line phones "intercom" one another. By sending a signal over each bridged line, each extension can communicate without actually tying up any of the 4 phone lines. As long as every multi-line phone is connected to all 4 lines (or matching number of lines if less than 4), each phone can intercom each other internally while keeping the phone lines free for external calls.

Small Telephones Systems on the other hand, which come equipped with a separate, dedicated KSU unit, are at a distinct advantage in both areas. Having a single KSU unit means a single interface point for the telephone line connections. Many small telephone systems need only a single pair of wire to connect each extension telephone. What this means is if you are deploying a number of phones in one particular area, you can save dramatically on cabling costs by having your contractor "split" the single Cat5e cable into, at most, 4 single telephone jacks! - This becomes very cost effective as you deploy additional phones. (However, many pros will only split single Cat5 cable once for 2 telephone jacks leaving the remaining wires as spare pairs). Cable management becomes much easier (and neater) as you need not worry about bridging 10 phones to 4 telephone lines. One single pair of wires (to connect to a telephone) of the 3 or 4 pairs in a standard telephone cable is enough for as many lines as the small telephone system can handle since the actual line connections are at the dedicated KSU unit and not at the individual telephone.

Another plus for the small telephone system is the ease of transitioning to a larger phone system. The wiring scheme for the most part will remain the same albeit installing more cable drops to new areas. Not so much the same for the multi-line business phones. Depending on how each phone was "bridged" to interface to those 4 telephone lines, this entire wiring scheme may need to be undone as most small (and large) telephone systems require individual (not bridged or shared) connections to the KSU.

Programming wise there is one disadvantage when comparing small business telephone systems to multi-line business phones, which can be viewed as multiple disadvantages. Since each individual telephone functions as its own KSU it also functions as its own Voicemail unit (if equipped). Which means if you want to enable an Auto Attendant feature (where your callers are greeted by a company recording instructing them to press 1 for Joe Boss, 2 for Sales Manager etc...) you will have to record this greeting for as many times as you have voicemail enabled phones (up to 4). Here's why, with most multi-line business phones, the voicemail feature includes a personal voicemail box for the extension and an optional auto attendant feature. The auto attendant feature can only handle one call at a time; ergo if you want the system to answer up to 4 incoming calls simultaneously you need at least 4 auto attendant enabled phones. So technically speaking you must record the same auto attendant greeting 4 times, 1 on each phone. You must also enable the system mailbox for each of the 4 phones to accept general messages. You now have 4 different phones/voicemail boxes in your office where you must check for general messages. This is known as a general mailbox, which is a default destination for callers who do not press a menu option or dial an extension. This scenario is not efficient for larger setups but may work for smaller ones.

With a small business telephone system, there is just one central voicemail unit which can handle multiple calls at once. Storage times are much greater and there is just one mailbox for general messages. You can also take advantage of advanced features (if equipped) such as voicemail to email (where the system sends the voicemail in a standard wav format to your email address), which in this fast paced world can be a BIG time saver and added convenience.

One last point on this topic to cover quickly; with the advent of the Voice over Internet Protocol (VoIP) continually proving its cost effective existence, many businesses find themselves wanting to take advantage of these savings. Many small business telephone systems on the market today are equipped to handle VoIP telephone lines through either a simple hardware or software upgrade. An upgrade may include adding an Ethernet (or media) port to the system or if already equipped, simply enabling this port through software activation. Simply plugging this unit into your company LAN and perhaps minor firewall configuration you can now start saving on land line costs by calling out over less expensive VoIP lines.

Multi-line business telephone can benefit as well but through a 3rd party VoIP gateway. This gateway converts a VoIP line (sometimes called a "Trunk") to a standard telephone port. You will need as many gateways as you want lines, (or opt for a multi-port unit). However you may have to plan on spending some time configuring and adjusting the settings of the unit to obtain the proper volume levels while minimizing echo and other artifacts that may be induced when converting the signal from a standard Analog telephone line to SIP or other VoIP protocol. Many high end units come with built in (hardware or software) echo cancellers and noise suppressors which minimize these adjustments (and work very well) but increase the cost of the gateway dramatically.

To conclude, although it may seem like great savings early in your start up phase, for needs of 4 or less external lines and extension phones, the multi-line business phone can actually prove to be a cost effective solution. In my humble opinion these multi-line phones are better suited for a home office (or SOHO) situation. If you have big plans to expand exponentially (and don't we all!) I recommend you at least consider a small business telephone system. Although a bit more initial investment is required, the benefits far out way the cost disadvantage if not cancel it out completely.

The telephone is a wonderful invention. Since it was first introduced into the marketplace it has made a world of difference in many people's lives. The fact that the telephone can be used in an emergency situation is probably the most beneficial of all. The telephone has saved many lives over the years, and without a telephone it would be impossible for anyone to call the police, fire department or ambulance.

Since it was first invented, the telephone has gone through many of changes. The first telephone lines were run on towers that made a city or suburb look very unattractive. These days all of the cables are run underground. The first telephone was a very large rotary type device. Political campaign strategies to get out the vote on Election Day can be varied and there is no single all encompassing solution. If there was, every candidate would be doing the same thing at the same time. Moreover, political consultants will all say they have the corner on the strategy market, and will ask to be paid handsomely for their advice.

However, even with all the high priced advice and years of experience out there, 50% of the candidates still lose. What do the 50% of candidates who win have that the losers don't?

Basically, it doesn't take more than common sense to figure it out:

1) Winning candidates concentrate their time and money on the electorate who is most likely to vote. In other words, they find out ahead of time who the "prime voters" are -- the people who have voted in the past two elections. This information in usually obtainable at the election board office.

2) Winning candidates target particular messages to particular groups. Designing a message and sending it to a special group -- say, senior citizens -- goes a long way in making a connection with that voter sub-set. Moreover, relating to voters' needs and wants is more important than philosophy. For example, what you think about local taxes, garbage collection, and fixing potholes, will probably have more of an impact than discussing a Trillion debt.

3) Winning candidates know that what they don't say is much more important than what they do say. As Calvin Coolidge said, "I never got in trouble for anything I never said." Winning candidates know they don't need to have an answer for everything -- they just need to demonstrate they have the temperament and good judgement to confront the unknown issues that will crop up after the election. Best strategy is to be cool and not overreact -- to anything.

Winning tactics are dependent on what you can afford. Well crafted television ads can spell the difference between success and failure. But television ads can be expensive and only a few people who see them will actually vote. Direct mail on the other hand can be targeted, yet expensive as well. One inexpensive way to target voters is to have a Town Hall Teleconference that would enable you to speak to thousands of prime voters at the same time over the phone. You can even have them ask questions. Amazingly, the technology also allows you to take instant surveys and polls which you can use later to know how individual voters actually feel about a variety of issues. In other words, you can get a report immediately after the conference and see who voted yes or no on each question or issue. Best of all, you don't need any election campaign software to have a teleconference -- the "in the cloud" service is available without any hardware or software. You just need an Internet connection and a phone line.

Another tactic which is the subject of heated debates in campaign circles involves the use of robo calls -- automated pre-recorded calls that can deliver a message to voters. Some studies show that it has no effect one way or the other. Others swear by it as the ideal, and least expensive way, to respond to last minute attacks.

In summary, campaign strategies are used to manage the candidate's time and resources most effectively. The best strategy is sometimes the easiest and most common sense approach in winning the voters' hearts and minds. The operative word is "voters" -- don't spend you time and money on people who don't vote.

Face-to-Face Communication - Old Fashioned? Not!

It's unbelievable how dependent we've become as a society on electronic communication devices! E-mail, text messaging, PDA's, cell phones, video conferencing, blackberries, blueberries, rasberries, and more...have taken the place of good old fashioned, face-to-face communication leading to many interpersonal difficulties and miscommunications in today's workplace.

You may be thinking...Why improve my interpersonal skills when most businesses do 99% of communication by telephone, teleconferencing, videoconferencing, e-mail, and on rare occasions, snail mail. A popular way of thinking today...but, is it really the correct way? "Face-to-face communication remains the most powerful human interaction," says Kathleen Begley, Ed.D., author of Face-to-Face Communication, Making Human Connections in a Technology-Driven World. "As wonderful as electronic devices are, they can never fully replace the intimacy and immediacy of people conversing in the same room and it has worked for millions of years."

In business, we talk about "B2B" (business to business) and "B2C" (business to consumer) methods. I try to buck the trend (in a positive way!) to stress the importance of face-to-face communication. You'll hear me talk a lot about the "P2P" (people-to-people) connections and how important it is to get beyond technology and talk face-to-face with friends, family, colleagues, customers, vendors, and the like. You may think that's a bit old-fashioned, but in my opinion, there is no substitution for the human, up-close and personal contact. Don't get me wrong, there is a place for the terrific technology tools we have today and I use it regularly, but it's not always my first or best choice.

Face-to-Face Communication - Old Fashioned? Not!

Several decades ago, John Naisbitt, in his mega 1960's best-seller, Megatrends: Ten New Directions Transforming Our Lives, brought a new concept to the forefront called "high tech, high touch." His idea was that "as human beings became capable of anonymous electronic communication, they would concurrently need more close-up personal interaction." Seems to me that he was right on target!

We live in a society when flocking to the local coffee shop or diner for coffee chats with business associates or friends is a testimony to our need for human togetherness, especially when most coffee lovers can make a latte or cappuccino right in their homes. Think about the fortunes coffee establishments are making on our need for face-to-face communication! The people-to-people connections...

We hear of the many children (and adults) who spend countless hours alone playing video games. However, The Game Manufacturing Association reported in 2003 that family board game sales (like Monopoly and Scrabble) are booming and growing at 20% per year. Cranium has recently come out with a whole new line of board games for our "little people" (ages 3+). The people-to-people connections start at an early age - if you haven't heard it, ask me to tell you my "Papa Zitto" story!

Even when disaster strikes and the news media bring these events into our homes and workplaces via TV, radio and the Internet, we seek out opportunities to share grief. I personally waited in line for almost three hours with hundreds of others to visit Ground Zero in New York when it opened to the public in December 2001. Many people also left makeshift shrines nearby to honor the victims of that tragedy. The people-to-people connections...

We lead hectic, multi-tasking lives both at home and in the workplace these days and we find the need for balance even more critical than in days gone by. We understand that technology can be impersonal, but it's quick! We know we need to make time for more people-to-people connections but, the reality of the hectic pace doesn't leave us much time for this more intimate form of communication. You may be thinking, isn't it much faster to make a quick phone call, send a brief e-mail, or hook up via video-conferencing to have a meeting of the minds? Yes and no. It's a communications paradox...faster is not always better.

So the better question may be, how can we make the best of both worlds - technology and face-to-face, people-to-people connections?

Just as fashions are redesigned and come back with a variation on a style from days-gone- by, I believe it is time for redesigning and revitalizing face-to-face (P2P) communication skills.

We need to get the balance right! People-to-people (P2P) communication skills remain one of the primary success factors in business, even in this age of technology. There are many situations - often those involving conflict, hurt feelings, high priority, or a large sum of money - that demand business people take the time and trouble to get in the same room to share information. Video-conferencing has become a good simulation and cost-effective method when individuals are in remote locations, but there is still no substitute for good, old-fashioned, face-to-face communication.

Don't take my word for it...Let's take a look at what some of the experts are saying.

Tom Peters, internationally known business guru, says without reservation that you should constantly attend to your face-to-face communication. Not to do so, will lead to career disaster. "We believe in high tech, high touch," Peters writes. "No question, technology is the Great Enabler. But, paradoxically, now the human bit is more, not less, important than ever before."

Sheila Hodge, author of Global Smarts: The Art of Communicating and Deal Making Anywhere in the World, says "The modern office is full of gadgets - computers and the Internet, uplinks and downlinks, videoconferencing, and online databases. Many people think they should let the fancy technology handle the messy task of interfacing with people."

Jo-Ellan Dimitrius, in her book Reading People, talks about how young, technically oriented employees tend to communicate mostly in computer chat rooms. "If you want to become a better communicator, you must make a conscious effort to engage other people (in person)," she writes. "Even the most entrenched Internet junkie can learn the true meaning of 'chat' if the desire is there, but you have to get off the couch and make it happen."

Gary McClain and Deborah Romaine in their book, The Everything Managing People Book, put it this way..."Consistent, daily face-to-face communication promotes more than just good feelings; it also promotes effective and collaborative teamwork."

"One of the most critical areas of communication to get right in business is the one-on-one situations - especially offering advice, constructive feedback, and annual performance appraisals," says Chris Roebuck in Effective Communication.

One of my favorite quotes stated very simply by Margaret Wheatley, Turning to One Another: Simple Conversations to Restore Hope for the Future, says "I can believe we can change the world if we start talking to one another again."

Sounds like we're on to something here...So, what can you do? Start out by taking an honest look at your communication methods and your attitude about technology vs. (P2P) face-to-face interaction. Are you e-mailing more and meeting less for financial reasons? Are you avoiding human contact mostly because of a lack of interpersonal skills? If the latter is true, you need to take action before it's too late.

The next time you are tempted to send an e-mail, text message or make a phone call for other than routine purposes, stop! Get back to basics. Go out of your comfort zone and, instead, send the e-mail, text message or make the call to set up a face-to-face, in person meeting with the person behind the technology! Why? Because it works!
